Tasks deletion and recovery limits
Impact of deleting the record on related data and actual data recovery.
The Task deletion function is intended for erroneous entries. It is not a standard method for completing work. Complete finished work by changing its status rather than deleting its history.
Who can delete
Deleting one or more Tasks requires a specific Tasks deletion permission. If the button is not visible, it usually means this permission has not been granted.
What is removed upon deletion
Deleting a Task may also remove associations with assignees and followers, comments, checkpoints, time entries, tags, custom field values, Items lines, and linked files. Review the entire content of the card before confirming.
The system also schedules a recalculation of the next Task for linked clients, Leads, objects, and projects. It attempts to remove linked events from the assignees' Google or Microsoft calendars.
Can Task be recovered
The standard Task model does not include a user-facing recycle bin or a Restore action. A system configuration for the permanent removal of deleted records does not automatically provide a recovery function for the Tasks module. Data could be restored from an administrator-managed database backup; however, this is not a standard daily recovery process, and the outcome depends on the backup policy.
Before Deleting
- Verify that the record was indeed created in error.
- Review comments, files, timestamps, dependencies, and financial links.
- If the record's history needs to be preserved, use the Cancelled status or another appropriate organizational status.
- For bulk deletion, double-check active filters and the number of selected rows.
- For critical data, consult the administrator regarding backups before proceeding.
Delete a record with dependencies only after evaluating the chain of predecessors and successors. If the record must be retained for historical purposes, select an appropriate completion or cancellation status instead of deleting it.
A Task is missing: was it actually deleted?
A record missing from a list is not the same as a deleted record.
- If you have a link, try opening the Task itself and use global search. Also clear list filters, check the period, and review assignees and followers.
- If a colleague can see it, an administrator should check visibility and permission differences. Do not ask for a copy before establishing whether the original still exists.
- If deletion is confirmed, record the known Task link or number, deletion time, and what was linked to the Task. Ask an administrator about possible next steps, without assuming recovery is guaranteed.
Do not recreate financial or integration relationships without checking them. The Task limits described here do not automatically apply to archiving or deletion in other modules.
